Position: Lead Patient Services Representative

Duties and Responsibilities

  • Responsible for all assigned patient services representative staff’s scheduling including vacations.
  • Assists in the orientation and training of staff, along with providing Clinic Operations Manager with performance feedback at annual review and ongoing basis.
  • Responsible for the daily financial deposit.
  • Answer and screen incoming calls, patient inquiries and relays messages so that calls are handled in an efficient and timely manner.
  • Schedule office appointments for providers, lab and outside providers
  • Acknowledge and greets patients as they arrive with a warm greeting and a smile. Monitors patient wait time and keep in contact with medical support staff to keep patients informed if provider is running behind.
  • Address credit issues as directed by the financial policy.
  • Assists in entering payments when patients are paying the day of service.
  • Completes patient chart prep as needed. Making sure to get yearly updates with current signatures.
  • Responsible for updating patient information, verifying patient insurance and entering new patients in computer.
  • Maintains confidentiality by keeping all patient and medical information seen and heard in the strictest confidence.
  • May assist in scheduling interpreters as needed.
  • Assumes responsibility for all daily provider schedules, including all patient notifications.

Job Qualifications

  • High School diploma
  • Minimum of 2-4 years of medical office experience
  • Knowledge of Medical Terminology preferred
  • Excellent communication/listening/customer service skills
  • Willing to work in a fast paced environment
  • Computer knowledge to use scheduling software and Microsoft Suite
  • Ability to travel between three sites locally.
